Your Harvest bill went up. Here is how to work out next year before it lands.

If you run a small agency on Harvest, there's a decent chance your last renewal email made you sit up. The question all over forums this year is the same one: "why did my bill go up so much, and what will next year look like?" Here's the short version, and a quick way to work out your own number before the renewal lands. What changed Harvest still charges per seat. The seat price actually went…

If you operate a small agency on Harvest, there's a good chance your last renewal email caught your attention. The common question being discussed in forums this year is: why did my bill increase significantly, and what can I expect for next year? Here's a brief overview and a simple method to calculate your own bill before it's due.

Harvest continues to charge based on the number of seats. The price per seat has actually decreased slightly. Teams now costs $9 per seat per month when billed yearly, or $11 per month. However, there's a new component called Flex billing. With this, you also pay for active projects, clients, tasks, and invoicing from the previous billing period.

Only time-stamped activities during that period are counted. Each plan includes some usage for free, but the exact allowance and per-item rates are not published. Additionally, there's Unlimited billing, which replaces the usage charges with a single, fixed fee. Unfortunately, that fee is also not disclosed.

Harvest's help article explains why your first bill might seem okay, but the second one doesn't. For new accounts, usage begins at the second paid renewal. As an example, a bill could jump from a seat-only $44 to $404. Those most affected are not necessarily those with a large team size, but rather how you distribute your work. If you have numerous small clients, open a new project per job or sprint, use many tasks for categorizing time, or send a lot of invoices, you may pay more than a bigger team with fewer large accounts.

A five-person studio with 30 active clients could end up paying more than a larger team with only five significant accounts.

To estimate your bill for next year in about ten minutes, first note your renewal date and whether you're billed yearly or monthly. Generate a report for your last billing period. Count the number of projects, clients, tasks that had time tracked, and the number of invoices you sent. Reach out to Harvest support for a written quote for both Flex and Unlimited billing, using these counts.

If you're on a legacy plan, ask about that as well. It's best to export your data while you still have full access. Don't commit to another year until you know the total cost. Staying may be fine if the quoted price suits you, as Harvest is a mature product with good apps and integrations. Some clients have received a lower price for upfront payments.

However, switching does take time and incurs costs. If it doesn't work out, there are flat-priced alternatives available now, such as Toggl Track, Clockify, and Keito. Note that Sheaf, a flat-priced option, is currently in beta and imports your entire Harvest account, including old invoices, without incurring double billing. It's free while in beta.
